The Booking Pool serves to facilitate the distribution of presentations, appointments, equipment for loan, and rooms. These resources are created as booking objects and can be reserved by students.
Functions
- The activation of presentation topics can be scheduled at a specific time.
- Students may register their own topics online. It is possible to permit the cancellation of a booked reservation.
- Teachers have the ability to view the topics that have been booked by individual students at any given time.
- Both anonymous reservations and those visible to all users are possible.
- Once a booking has been made, students may be provided with information about it. This information can be accessed by students at any time.
- By utilizing a schedule, resources, or appointments can be booked in a time frame (e.g., for regular office hours). Once the students have made their reservations, it is possible to transfer the booked reservations to the personal Outlook calendar and have them updated (see instructions).
Use Cases
- Time-consecutive resources, such as rooms, employee time, workstations or equipment, can be made available for reservation.
- A certain number of topics are available for selection by students, with the option to indicate preferences up to a specified date. Should the deadline be reached, StudOn will automatically distribute the topics according to the preferences indicated. Subsequently, the assignment may be modified manually.

Instructions
- Select "Add New Item" and then click "Booking Pool" from the drop-down menu.
- Subsequently, a new page opens. Select "Option 1: New Booking Pool", enter a title and add a description if desired. Click "Add Booking Pool".
- In the "Settings" tab, select the desired occupancy plan:
- "Fixed Schedule": A fixed schedule, for instance, can be employed to book office hours. To this end, a period for the reservation must be defined in the "Schedules" tab.
- "No Schedule, Direct Booking”: Participants may book presentation topics, seminar seats, or equipment directly.
- "No Schedule, Using Preferences": The participants will state their preferences. Subsequently, items will be allocated automatically in accordance with a pre-established deadline.
- Activate the "Allow Storno" checkbox to allow participants to cancel their own bookings.
- Click "Save".
- To add resources, topics or appointments that can be booked, click on the "Add Object" button located in the "Booking Objects" tab:
- Please assign a title to the object to be booked. If desired, add a description.
- As an optional additional step, you may upload a file under the heading "Additional Description".
- In the field designated "Nr of Items", indicate the quantity of resources that should be available for booking.
- In order to determine the dates on which this resource is available, use the "Schedule" function.
- The section entitled "Post Booking Information" allows the user to enter specific information that will be displayed automatically to the person who has made the booking (instructions, contact details, etc.). It is also possible to upload a file. This information can be accessed by students via the booking pool.
- Click "Save".
